EAST LANCASHIRE LETS – CORE GROUP MEETING HELD AT QUARRY BANK STREET, BURNLEY FRIDAY 15 JULY, 2005
1. MINUTES OF LAST MEETING
Were read and accepted as a true record, and signed after Dents was amended to Tents Item 9.b

3. PROJECT IMPLEMENTATION PLAN
Sally produced the Project Implementation plan which the meeting considered as follows:
1 Produce Leaflets - On hold 2. Renewal forms - 16 people have renewed their membership 3. Leaflets available - Ongoing 4. Directories/Newsletters – The second newsletter is being produced, there was a discussion about the format and we can still get help from New Era 5. Training - Carol by Sally 6. Exchange Visits - Tess to ask BCN if we can keep the money and go later in the year. 7. Website – Alex will bring the laptop to Dickie’s Meadow for members to evaluate. 8. Admin Roles – progress is being made 9. Secretarial role – Joan is helping 10. Development of SAMS – ongoing 11. Postbox – Pauline gave a report, but getting permission from the library is difficult, but Pauline has not given up. 12. Welcome Pack – ongoing 13. Telephone Line – ongoing 14. Treasury Role – Sally needs to catch up on reports 15. Support to Sandra Fishwick – She is nearly at the end of her 3 months contract, we have asked whether she can do another 3 months, but are awaiting a reply. 16. Governance Issues – Ongoing 17. Scotialand – The information has now arrived and we can trade with them in Scotias not Lonks. We need copies of cheque books and the directory to be given to all LETs members. 18. Attracting more core groups members – ongoing 19. Presentations - Michele has a presentation on power point. We are giving a presentation in Nelson on 26 July. We have been given 15-20 minutes, but feel we need more time especially if we are going to do a workshop on trading in lonks, Sally will e-mail Sue and ask for 30 minutes. It was felt we need to find a video and have run through and plan the night. 20. Social & Training Day - next one at Dickie’s Meadow 21. Laminator - we have bought one and it is now available for use.
4. GREEN FAIR
It would seem that there are two Fairs one in Burnley on 21 August and one in Nelson on 20 August. Sally has applied for a stall on each fair for one day.
5. DICKIE’S MEADOW EVENT
Members will trade in Lonks, non-members in £1. People will be able to joint LETs on the day.
Eileen gave an up-date on the sub-group. There has been a visit to the Meadow and plans for where to put stalls, children’ area, tent etc has been approved. Eileen will make a vegetable curry which will be sold in the evening, people will bring their own food to Barbeque during the day. However, it needs to be made clear that the vegetable curry will be paid for. Michelle and Sally will type up who is having stalls. These will be provided by Ian.
Sally passed round a list of Equipment we can hire from the Loan Scheme. The meeting approved the things that had been ordered. These will be delivered on Friday before the event
Mitch is still willing to bring her projector if there is to be a film show in the evening.
6. NEXT SOCIAL & TRADING EVENT
Mitch would like this in Jessie’s Field in the Piccadilly area in late September – any ideas would be welcome.
7. SCOTLAND UPDATE
Michele and Sally are going to the Isle of Arran.
8. ANY OTHER BUSINESS
NEW MEMBERS – DEBT – Michele had noticed that new members do not want to go into debt, but try to build up a credit balance before spending Lonks. They seem to still think of this as a bank account and if they are overdrawn a demand will be made for the lonks owing. We need to get the message out that this is not the case and encourage people to trade even if they do not have a credit balance.

No problemo, Super minutes I thought - must think of an affectionate nickname for the lady who did them as we are all under-cover agents - twitter. I think Sister Agnes or someit might do but I shall ask her first on Friday. Now then, forgot to put on agenda booking Christmas do at Burnley Miners (we can get room free as John, Mel's friend is on the committee), but we need to hop to it as it's booking up fast already being a very popular Burnley Venue. Can't wait till we get cracking on our East Lancs Lets web forum, I think that'll be great and be a real asset to communication between us core group and members. tararara for now. Mitchelline xxx

Okaaaay...it's been a long, long time since we posted in this thread.
News up to date, unfortunately we couldn't book Burnley Miners Club for a Xmas party, due to lack of funds, so a few of us are hoping to either go for a meal somewhere or go to Blackpool for 'Funny Girls' somewhere between now and 11th January...let us know if you're interested in joining us!!! Next up, the Minutes from our Core Group Meeting on 16th November, and the Agenda for our forthcoming meeting on 7th December...please contact me direct if you wish to attend...

MINUTES OF LETS CORE GROUP MEETING 16TH NOVEMBER 2005
1. Meeting commenced at 6.40pm as Alex demonstrated the use of the Lets Website and navigation of same. This was followed by a question and answer session during which Alex presented the group with a list of Tasks which were required to be fulfilled before the site was ready to go ‘live’ and for training to commence. Alex was issued with a cheque for £600 after promising to complete the website by 30th November, as he was to take extra time off work in order to fulfil the tasks required. 2. Training sessions were arranged for 3rd and 4th December, to take place at Suite 312, India Mill Business Centre, Bolton Road, Darwin, Lancs. BB3 1AE. Directions were noted. Training from 12-2pm both days. 1st session for admin staff and the 2nd for Lets members. 3. It was agreed that we are to keep the Lets co-op domain name, at a cost of £80 for a further 2 years renewal. The cost of this is to be met by reducing the amount of training to be given to admin and members of Lets, and so will be deducted from the training fee to be given to Alex Martindale. Copyright of the Lets Website although listed to Alex, belongs also to the group and Alex must consult the Lets Core Group if he wishes to sell any of the software created for the website. 4. It was agreed to no longer make use of the 0845 number for East Lancs Lets, as it was not found to be cost effective, and it is hoped that more people will be attracted via the website. There is a possibility that a free telephone line could be available through somebody’s Internet Provider, which will be looked into. 5. It was suggested that we could share the Lets co-op domain name, by allowing other Lets groups to have their own sub-domains, eg. Sheffield Lets.coop. 6. Mary Fee from Letslink UK visited and spoke for 45 minutes regarding her experiences with Lets groups, and offered us useful advise. She also provided us with a handbook, which includes tips on how to make Lets groups sustainable and successful. It was suggested that the use of the website should ease the burden of our existing admin staff and should, therefore, leave the group with more time to be creative about how to attract more members, and how to keep existing members. A ‘buddy’ scheme was suggested, in which 1 member takes on board a newer member and introduces them to the ins and outs of Lets, and helps them with any I.T. needs that they may have, in order to encourage all members to make full use of trading via the website. This would be essential for the successful handling of members’ own accounts/transactions. It was further suggested that members who do not own a PC, make use of computers at their local libraries/colleges/cyber cafes and create their own web-based email addresses so that they can join the East Lancs Lets website and become I.T. literate at the same time.
Mary compared Lets with other similar systems, such as Time Banks which she said were not a good idea as they were ‘funding dependent’, however it was useful to learn from Time Banks regarding: System Defecits. She stressed the importance of keeping a close eye on individual members’ accounts, and their turnover of trading, so that each member is encouraged to do an equal amount of giving and taking, to ensure that no one member has an excessive Lonks balance.
Another suggestion was that we introduce specialised ‘practitioners/professionals’ into the Lets scheme, offering more substantial trades, services and goods. That we approach these persons via the Yellow Pages and invite them to join the Lets scheme, and for them to offer, perhaps, an afternoon per week of their work to Lets members which they could pay for in Lonks instead of money.
It was also suggested that we abandon annual charges, and instead introduce a one-off joining fee, that all future fees are payable in Lonks only. A possible way in which to attract future members would be to hold a Lets trading day, open to the public, and to print up 1 day Lonks cheques which the general public could purchase £ for £ eg. We would provide them with 10 Lonks in exchange for £10, instead of an admission charge, and they could spend those Lonks at the trading event, and then decide whether or not to join and pay the one-off membership fee.
Passbooks could be offered to Lets members, in which to record transactions, if they insist on not using a computer.
A final suggestion was that E. L. Lets gets involved with Community Projects. For instance, there may be an elderly person either on the scheme or not a member, who is in need of lots of help in their house or garden, which a group of members could work on together. This person would not be required to pay anything to the group for the work, and each Lets member joining in the work group would be paid Lonks for the number of hours work they complete on the project. This could also be the case with bigger community projects, working with the homeless or other disadvantaged groups. It would be hoped that publicity from us doing these Community Projects would encourage a larger membership. Individual Lets members could contribute/donate their excess Lonks to a separate Community Projects account within E. L. Lets, to fund paying those members who carry out the work on these projects.
Mary’s parting wishes were that members of the Lets Core Group could work together and support each other in the tasks they have to undertake, helping out wherever necessary…and that we consult documents setting out the required tasks for each of our roles, and to stick to them.

Open Door, Colne definitely booked ok for Wednesday, 25th Jan, from 7pm-9pm for East Lancs Lets Core group Meeting.
Stella from Open door rang back, we just leave monies for room on the table in an envelope after the meeting so we're fine to pay on the night.
Minutes from last meeting - should get my full attention straight after Mast public meeting.

MINUTES OF LETS CORE GROUP MEETING Wednesday, 17th December 2005 (eek!) Present: Carole, Michele, Mitch, Mitch’s Mum Maggie Thatcher, Godfrey Guest: Cotty (who ate several Quality Street/1 mince pie then disappeared!)

1. Website training discussed – old date now, but understand a day was arranged and some members attended.
2. Discussions on 0845 coop number – members agreed not now needed, therefore abandoned. Some core group members don’t mind their number being used on Lets literature, eg. Michele & Mad Mitch
3. Question of domain name came up – lets.coop – needs following up with Alex.
4. Mary Fee’s visit discussed – useful comments particularly on Buddy/mentor idea where current members buddy up with new comer and show them the ropes. It was agreed using Mary Fee’s message board was a good idea.
The Vibes Brochure which Mary Fee distributed was of particular interest, listing businesses such as hairdressers and organic food outlets etc., as well as retired tradesmen/Age Concern – all ideas for approaching new groups to join lets.
Also, the idea of large accumulated lonks from certain members being donated to a Community Lonks Project fund had much appeal.
5. Members’ Trading/Socials – lots of ideas for socials – summer picnics, pub meets, bowling. Godfrey had loads of ideas (he’d make a great social organizer). 6. Membership renewal – Carole mentioned that some members have not paid their renewal fee – some discussion on what to do about this, eg. Sending letters asking them if they still want to participate. Also, question raised on whether to abandon annual renewal.
7. Book meal at Istanbul – whoops that’s been and gone – AND WHAT A FANTASTIC MEAL IT WAS TOO – Thanks Michele for organizing it x
(Interlude - Godfrey forced down a mince pie at this point, and me mother embarrassed me again – twitter).
8. Fundraising events – various ideas put forward – jumble sale. Various venues explored for fundraising event including Burnley League, United Reform/Nelson, and good ol’ Burnley Methodists. Also idea of having a Lets Market stall raised again – needs looking into at Burnley. Carole mentioned a do at the Fire station as well.
9. AGM/Members Agreement mentioned (some members said they’d rather have a party – eek). Michele is planning date for AGM etc.
10. Production of more posters, post boxes and distribution of remaining tent cards (how many are left?).
NEXT EAST LANCS LETS CORE GROUP MEETING – WEDNESDAY, 25TH JANUARY 2006, Open Hands, Colne. Starts 7pm.

MINUTES OF LETS CORE GROUP MEETING Wednesday, 22nd February 2006
Present: Carole, Michele, Mitch, Alex

1. Opening remarks/introductions:
Apologies/AGM letters draft/plans for family disco perusal. Agreed that after the AGM basic admin tasks such as ensuring postboxes for Lonks cheques regularly checked/emptied would be allocated and sorted.
2. Minutes from last meeting – no arising matters.
3. Financial report from Sally Parnell – currently being done for the AGM, draft’s emailed to core group from Sal. Request that Sal bring remaining petty cash from account and bank books etc. to the AGM on the 18th March.
Core group discussed future role of treasurer, agreeing that an update on financial matters should be presented by the Treasurer at every core group meeting. Mitch to contact Sal (done) suggesting she contribute to presenting the social review of Lets for the last year. Sal agreed a good idea. Alex to contact Sal re: offering assistance on BCN report if needed.
Alex also suggested the excellent idea of an Auditor in future – core group agreed this was a superb idea!
4. Plans for AGM – drafts from Alex reviewed by core group – all excellent and now gone out (as of 28th Feb) to all members. Core group agreed they would ask Tess McMahon to chair the AGM – Michele has asked Tess to do this.
Timings for AGM agreed as follows:
12.45-1.30pm – preparation/Stalls up 1.30pm-3pm – Trading Event, St Johns, Vaughan Street, Nelson 5-7.30pm – Break 7.30pm-10pm – Family Disco
On Trading Events, discussions on mixing of Lonks/Money trading – with a mix of Lets/Jumble sale style event to ease people in and avoid confusion of Holy Trinity event. Agreed that it would be upto individual stall holders to decide whether they would do Jumble for money as well as for lonks. All money raised will go to Lets Fund.
Awards for AGM to be awarded for:
Most Lonks Traded Most unusual trade Best Buddy top introducer to Lets
Michele to contact Iain re: rosettes for awards.
5. Plans for Family Disco: Poster Done/Venue booked by Michele – shown to Core Group. Mitch/Michele had already been round various Nelson Local Businesses to ask for sponsorship/donation vouchers – success with Nicholson Butchers. Others to chase include Lomeshaye Organics food outlet, Upper Crust Bakery, The Liquer Store, Railway St Hairdressors, Local Laundrette for free wash.
Family disco – fancy dress optional. Kids must be accompanied by Adults. Open Mic. Session & performers planned. Alex kindly to be DJ! Possible Raffle – Mitch & Michele to get on with this over next couple of weeks.
Venue holds 100 – 100 tickets to be printed (mitch/Michele). Leafleting and opening up family disco particularly to local community. House to house leafleting, visits to other local businesses to display poster, visits to Pendle Community Network and other community groups networks in Pendle.
6. Restructuring of East Lancs Lets: some discussion on splitting off into smaller groups with a more indepth focus – eg. Nelson/Colne/Pendle, Accrington/Blackburn, Burnley. This was a very informal discussion at this stage, and it was agreed to pick it up after the AGM when roles had been elected. East Lancs Lets would always pull together as one whole, and assist each other in socials – but would also have key core group members focusing on the specific areas in which they live, eg. Nelson or Blackburn.
7. Website Training: Website Training will take place after the AGM on Saturday, 8th April from 12noon to 3pm, suite 311/India Mills, Darwin. Hosted by Alex.
Alex also re-confirmed that the lets.coop domain name would be renewed.
8. Date of Next Meeting: EAST LANCS LETS AGM, SATURDAY 18TH MARCH 2006, 1.30PM – 3PM, ST JOHNS SOUTHWORTH, PARISH CENTRE, VAUGHAN STREET, NELSON BB9 0JS.
